Saalz Privacy Policy

The SAALZ Privacy Policy is intended to provide you with full information about the conditions under which SAALZ collects and processes your Personal Information.

The Confidentiality Policy is part of the T&Cs and each term defined in the T&Cs has the same signification in the Confidentiality Policy.

By accessing and using our websites and the Saalz Software, you agree to review this Confidentiality Policy, which may be modified or updated at any time without notice. Any modification will be posted on the Site and we advise you to consult it regularly.

I. Purposes of the processing and Nature of the Personal Data collected

1.1. We collect and process Personal Data that you voluntarily provide to us afin order to access and use the Software, make requests to our staff (demonstrations or otherwise) or access our resources by

We also collect and process data related to our Users’ preferences and trafic (such as IP addresses).
Specifically, we process your Data to enable:
  • consultation of our websites;
  • creating accounts (Saalz Account, Trial Account) to access the Software and use our services;
  • registration for online demonstrations, events or contests;
  • download our online resources;
  • management and follow-up of the commercial relationship (subscriptions, orders, payments, complaints and support to Users);
  • management of technological and commercial partnerships;
  • the provision of websites and their various functionalities;
  • management of prospects and information requests (sending commercial and marketing offers, newsletters, white papers, etc.);
  • improving our services by placing cookies on users' terminals;
  • Management of the security of the site and the Software;
  • the management of requests to exercise the various rights of Users: rights of access, rectification, deletion, portability, opposition, and limitation.
To open an Account, you must provide us with at least the following personal identification information to use the Software:
  • Your name
  • Your email address
  • Your phone number.

You may complete your profil with other Personal Data (address, other phone number, date of birth, photo, names of your customers or prospects, etc.). We will never collect or process sensitive Personal Data as defined by the regulations, concerning, for example, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health, etc.

1.2. We collect information related to the contractual relationship we have with you: history, subscribed tools, billing and payment elements, requests and incidents reported to the support service…

1.3. We collect certain cookies automatically deposited on your terminal, or other cookies subject to your express consent, certain Personal Data when you visit our Site (Saalz.com) or our Customer Relationship Management platform called Saalz: for example, the date, time and duration of your visit to our site, the path of your navigation, the type of your operating system, etc. A cookie is a small text file sent by the website the User visits to the User’s web browser or device. Its function is either to allow the functioning of the site, to facilitate navigation (memorization of technical choices, of past activity), to improve the use of the site and the service and to better understand the experience of the User. The maximum lifetime of a cookie is 13 months.

II.use of your Personal Data

We only use Personal Data in the cases provided for by the regulations in force, which are:

  • The performance of the service contract relating to your use of the Saalz ;
  • Compliance with a legal obligation;
  • Your consent to use your data: You may withdraw this consent at any time, without affecting the lawfulness of the processing based on the consent given prior to the withdrawal of consent;
  • Our legitimate interest in conducting prospecting or promotional operations concerning us or our filiales. We may also record your telephone communications with our sales teams, afin order to improve our quality of service.

III.Processing of Personal Data

SAALZ collects and processes your Personal Data fairly and lawfully, and in accordance with the principles of the European Regulation 2016/679 of 27 April 2016 (RGPD). SAALZ is responsible for the processing of your Personal Data within the meaning of the GDPR.

SAALZ has appointed a Data Protection Officer (DPO or Data Protection Officer) who continuously drives SAALZ’s compliance with the principles and rules of the GDPR and can be contacted at dpo@Saalz.com.

The DPO’s duties include:
  • To inform and advise the Data Controller on the application of the RGPD in the company;
  • To make SAALZ employees aware of the protection of Users' Personal Data;
  • To accompany them during the implementation of treatments;
  • To respond to requests related to the exercise of your rights, in accordance with Article VIII.

IV. Retention of your Personal Data

4.1. Security

SAALZ makes every effort to prevent the loss, misappropriation, intrusion, unauthorized disclosure, alteration or destruction of the Personal Information you provide to us.

Thus:
  • The Data is stored on AWS servers. The control of the security of the servers and the update of our operating software is done in real time.
  • All the information you send us is encrypted [protocole TLS V1.3].
  • SAALZ employees are subject to an obligation of confidentiality and non-disclosure and have all signed a specific commitment relating to the protection of Personal Data.
  • Access to your Data is governed by a strict access control policy, reserved for authorized persons, under defined conditions.
  • When we use service providers to process Personal Data, we have previously vérifié that these providers guarantee an equivalent level of protection in terms of security.

4.2. Duration

SAALZ retains your Personal Data in accordance with the following legal and regulatory provisions:
  • We retain information related to the management of the Customer account, orders, billing, payments 10 years after the fin of the contract or the last contact from the inactive Customer.
  • We keep the information relating to the constitution and management of the fichiers of prospection 3 years from the last contact from the prospect.
  • We retain the Data of inactive Customers for the fins of sending information on our commercial and marketing offers, within 3 years after the finding of the Commercial relationship.
  • We are obliged to keep the following Personal Data from the creation, modification or deletion of User Content for 1 year:
  • Connection identification;
  • The identification given by the terminal;
  • Types of protocols;
  • Nature of the operation;
  • Date and time of operation ;
  • Identification used by the author of the operation.

When the retention of Data is no longer justified by the management of a Customer account, a legal obligation, business requirements, the establishment, exercise or defense of our legal rights, or when you request us to do so by application of one of your rights (Article VIII), we securely delete your Data.

4.3. Account Cancellation

You may also request that your Account be deleted pursuant to the TOS. Your Data will then be deleted in accordance with Article 4.2. above.

V. Access to your Personal Information

5.1. Access to your Data by SAALZ Group employees

Depending on the finalities defined in Article I, employees of the customer, support, administrative, accounting, technical, marketing & sales departments of the SAALZ Group may have access to Personal Data.

Access to your data is based on individual access authorizations, as specified in Article 4.1.

5.2. Data Transmission

SAALZ may subcontract the following services:

  • Hosting
  • Mailing of postal or digital mail
  • Customer Relationship Management
  • Maintenance
  • Technical developments
In accordance with Article 28 of the GDPR, access to your Data by our subcontractors is provided for and regulated by contract. This contract between us and our subcontractors lists the following the various regulatory obligations that are incumbent upon it in terms of the protection of Personal Data.
5.3. Limitations on the use of your data as a Gmail account user

You can synchronize your Gmail account with Saalz software via a login application. Afin order to enhance the security and confidentiality of your user data from a Gmail account, and notwithstanding any other provision of this Confidentiality Policy, the use of your data by the Login Application is subject to the following restrictions:

  • The Login Application uses access to your Gmail User Data only to perform the following actions: read, write, modifier, or control the content of Gmail messages (including attachments) and metadata, afin order to provide a web-based email client that allows users to write, send, read, and process email ;
  • The Login Application never transfers this Gmail data to third parties unless it is necessary to provide and improve the functionality of the Login Application, to comply with applicable laws, or as part of a merger, acquisition or sale of assets;
  • The login application does not use this Gmail data to serve ads;
  • The application does not allow a human to read this data, unless you expressly authorize us to do so for certain specific emails, for security reasons (investigations into misuse), to comply with applicable regulations, or for internal application intervention on the condition that the data has first been aggregated and anonymized.

Saalz’s use and transfer to any other application of information received from Google Accounts is done in accordance with the Google API Services User Data Policy Google API Services Users Google’s Privacy Policy, including the Limited Use requirements.

VI. Transfer of Personal Data

We store your Personal Information in the European Union.
Should the Data we collect be transferred to subcontractors located in other countries, we first ensure that appropriate safeguards are in place to govern any transfer of Personal Data (such as the European Commission’s Standard Contractual Clauses with additional security safeguards) in accordance with the GDPR and the recommendations of the European Data Protection Committee.
We may also provide our Users’ Personal Information only if required by French law or ordered by a French court.

VII. Communications from SAALZ

7.1. We may send emails to the email address associated with your Account for reasons related to our business relationship, i.e., technical or security reasons, administrative reasons related to your subscription to the Software, your participation in our events, or to inform you of the evolution of our service offering.

7.2. We may also send you SMS or emails containing promotional and marketing offers under the conditions recalled in Article VIII. If you opt out of these communications, you will still receive the communications listed in Section 7.1.

VIII. Exercise of Users' Rights

In accordance with the French law “Informatique et Libertés” and the European Regulation 2016/679 of April 27, 2016 (RGPD), in force as of May 25, 2018, you have the following rights concerning the treatments:

  • Right of access and rectification
  • Right to object
  • Right to erasure
  • Right to portability
  • Right to limit processing
  • The right to organize the fate of your digital data after death

You can:

  • Modifier your Personal Data directly from your SAALZ Account, if you have one,
  • Manage the receipt of promotional communications (not related to a transaction) by simply clicking on the "unsubscribe" link figuring at the bottom of emails sent by SAALZ,
  • Manage SMS reception by sending a "STOP" text message.

All requests must be justified and accompanied by a copy of a valid ID.
